Operations Administrator
Key Responsibilities:
SCHEDULING
- Assist the Logistics Coordinator with scheduling duties as required.
- Provide back up/vacation coverage for the Logistics Coordinator.
- Assist with the scheduling, need for and availability of rolling stock and production equipment as required.
- Assist with the scheduling of subcontractors, suppliers, waste receivers and other resources as required.
- Assist with tracking and recording all revenue work on the Current Work List.
- Assign and communicate corporate job numbers.
- Update the sludge, sewage and vacuum log and the waste management pick-up log
WASTE MANAGEMENT
- Assist in the completion and distribution of waste program service documentation (WasteManagement Work Requests & Work Orders) as required.
- Accept, review and verify WM paperwork for accuracy and billing
- Receive manifests in RPRA, make corrections and initiate letters as required.
- Verify and ensure accuracy of all customer generator numbers and waste classes for both vessel and non-vessel waste shipments.
- Maintain Corporate customer generator numbers, manifesting information and waste class list as required.
- Conduct Waste Tracking in OMS to ensure current and accurate inventory logs.
- File & maintain hard copy bill of lading records.
- File & maintain hard copy manifest records.
- Assist in various other aspects of the Waste Management Program as required.
- Coordinate outgoing shipments of waste to receivers.
- Coordinate onsite waste bins for pickup as required.
- Request PO’s for all waste shipped off site.
- Assist with disposal pricing options as required.
- Source supply items for Waste Management as required.
HEALTH & SAFETY
- Complete WHMIS, Regulation 347, and other training as required.
Knowledge, Skills & Competencies:
- University degree or College Diploma, preference given to those in chemistry, environmental science and transportation related disciplines.
- At least 2 years customer service and/or office administration experience.
- Strong interpersonal skills and ability to develop and foster relationship growth in a professional setting.
- Capable of empathetic listening and conflict resolution in a fast paced and high-volume environment.
- Desire and motivation to gain knowledge about the industry in multiple facets to develop professional skills within the waste management space.
- Excellent communication skills in oral and written English.
- Strong listening, negotiation, presentation, and client facing ability.
- Ability to independently resolve problems within one’s scope of authority and understanding of when to escalate to superiors.
- Solid personal integrity and dedication.
- Ability to work without supervision.
- Overtime during certain peak seasons is required.
- Proficiency in Google Docs and Sheets.
