Fleet Warranty Coordinator

Key Responsibilities and Duties

  • System Administration: Provide daily administrative support within the M5 system, including meticulous data entry, asset updates, and maintenance record management.

  • Data Integrity: Audit and maintain the accuracy of maintenance contracts, billing information, and operational records to ensure seamless financial and fleet reporting.

  • Reporting & Analytics: Generate routine and ad hoc reports to assist Finance, Operations, and Leadership teams in making data-driven decisions.

  • Issue Resolution: Investigate and reconcile discrepancies within system data; troubleshoot basic M5 process issues and escalate technical concerns to IT when necessary.

  • Documentation: Create and maintain organized documentation for maintenance processes, system updates, and standard operating procedures (SOPs).

  • Onboarding Support: Assist in training team members on M5-related workflows to ensure standardized system usage across the department.

  • Process Improvement: Proactively identify opportunities to enhance reporting accuracy, streamline workflows, and improve overall departmental efficiency.

Knowledge, Skills, and Competencies

  • Detail-Oriented: A high level of accuracy and a "sharp eye" for catching data inconsistencies.

  • Technical Proficiency: Advanced skills in Microsoft Office Suite (Excel is a must); ability to quickly master internal ERP platforms.

  • Problem-Solving: Strong analytical skills with the ability to investigate root causes of system errors.

  • Organizational Prowess: Exceptional time-management skills and the ability to juggle multiple priorities without missing a beat.

  • Communication: Effective verbal and written communication skills for collaborating with diverse internal teams.

  • Professionalism: High level of discretion when handling sensitive financial or operational data.

Qualifications and Requirements

  • Experience: 1–3 years of experience in maintenance coordination, operations support, finance, or system administration.

  • Education: Post-secondary education in Business Administration, Finance, or a related field is considered a strong asset.

  • System Knowledge: Prior experience with M5 or similar ERP/maintenance management software is highly preferred.

  • Excel Skills: Intermediate proficiency required (e.g., VLOOKUPs, pivot tables, data sorting).

  • Independence: Proven ability to work autonomously with minimal supervision while meeting strict deadlines.
