Collections Specialist - Portal Collector

Job Description:

We are in search of a proactive and experienced Collections Specialist to manage our most intricate receivables. This position is not intended for entry level billing or invoice processing. You will be tasked with navigating complex payment portals, organizing municipal accounts, and acting as our organization’s Final Caller for high-risk, aged accounts.

Key Responsibilities:

  • Proactively oversee third-party procurement portals (e.g., Ariba, Coupa) to monitor real-time invoice statuses.

  • Detect "Rejected," "Pending Allocation," or "Disputed" statuses within portals and promptly address the underlying issues.

  • Investigate and rectify payment discrepancies, supplying necessary documentation as needed.

  • Update management regarding the status of overdue accounts.

  • Ensure that internal records accurately reflect the payment schedules shown in customer portals.

  • Navigate the specific challenges associated with the municipality 

  • Serve as the primary professional liaison for Municipal accounts regarding payment status.

  • Outbound calls to accounts over 90 days being considered for final action

  • Resolve long-standing disputes and secure firm payment commitments or settlements.

  • Act as the final point of contact and issue notices before an account is referred to legal or a third-party agency.

  • Comply with all company policies and management directives.

  • Adapt to changes and acquire new processes as the business evolves.

Qualifications:

  • Exceptional attention to detail and a high degree of accuracy.

  • Self-driven team player with a positive demeanor and a strong work ethic.

  • Capability to perform under pressure, manage multiple tasks, and meet deadlines.

  • Outstanding interpersonal and communication skills (both written and verbal).

  • Effective organizational and time-management abilities.

  • Capacity to work independently 

  • Strong analytical and problem-solving skills.

  • Google Workspace is a plus
