The Role
We are looking for a talented Accounts Payable Associate to join our team. In this role, you will be responsible for assisting in managing the company’s outgoing payments and ensuring that all vendor invoices, reimbursements, and other payables are processed accurately, timely, and in compliance with company policies. You will work closely with internal departments and external vendors to verify invoices, code expenses to the correct general ledger accounts, and support the month-end closing process.
Key Responsibilities
Invoice Processing & Reconciliation: Receive, review, process, and reconcile a high volume of vendor, utility, and Telecom invoices and payment requests. Ensure timely payment in accordance with company policy and resolve invoice or payment discrepancies.
GL Coding & Data Integrity: Code invoices to the appropriate general ledger accounts and cost centers. Perform and validate mass data uploads using the in-house application, ensuring accuracy, consistency, and completeness through review and analysis.
Vendor Management: Maintain accurate and up-to-date vendor records. Communicate with vendors directly to set up new utility accounts and resolve outstanding payment issues.
Audit & Month-End Support: Assist with month-end closing activities and support internal and external audits by providing required documentation.
Service Delivery: Complete tasks according to schedules and timelines to prevent late payments or service interruptions. Ensure all inquiries sent to the shared team inbox are addressed within 24 hours.
What We’re Looking For (Qualifications)
Experience: 2 to 3 years of relevant professional experience in full-cycle Accounts Payable.
Education: Degree or Diploma in an accounting-related field, or equivalent practical experience.
Technical Skills: Working knowledge of a major ERP system (Workday or Great Plains/GP). Expert proficiency in Google Workspace (Gmail, Meet, Sheets, Docs, Slides) and proficiency in Microsoft Excel.
Soft Skills: Strong attention to detail, exceptional written and oral communication skills, and robust time-management capabilities to prioritize and complete multiple tasks.
Bonus Points: A resourceful, team-oriented work ethic with a proven ability to work independently, learn quickly, and remain flexible and adaptable to new priorities.
